Automated CAPA Workflows

Turn critical inspection failures into trackable, SLA-bound corrective action workflows with mandatory photo proof and manager accountability.

Audits without enforcement are just paperwork. When an auditor records a major violation—such as improper refrigeration temperatures, blocked emergency exits, or missing food labels—simply logging the problem is not enough.

Audiment features an automated CAPA (Corrective and Preventive Action) engine that bridges the gap between inspection findings and physical operational resolution.

1. Automatic Ticket Generation

Whenever an auditor answers "No" to a critical Yes/No question, or awards a low score on a critical rating question:

  • Audiment's scoring engine marks the response as a Critical Failure.
  • A new CAPA record is instantly generated in the organization's database.
  • The CAPA inherits the auditor's field notes, question description, and location metadata.
  • A 48-hour deadline countdown starts immediately.
  • The designated Branch Manager receives an automated high-priority alert.

2. Manager Resolution Workflow

Branch Managers do not need desktop computers to handle CAPA tasks. They can review and rectify issues directly from their smartphone dashboard:

Resolution Requirements

  1. Mandatory Resolution Notes: The manager must explain what corrective action was taken and what preventative measures were established.
  2. Mandatory Photographic Proof: Words alone cannot close a CAPA. The manager must use the in-app camera or file picker to upload verified photos showing the violation has been fixed.
  3. Audit Trail Timestamp: The resolution is stamped with the exact time of completion and manager ID.

3. Executive Review & Governance

Once marked completed by a manager, Organization Admins review the resolution evidence:

  • Accept / Resolved: The admin verifies the photographic proof and marks the CAPA as officially resolved.
  • Reject / Re-open: If the photo is unclear, incomplete, or the corrective action is deemed insufficient, the admin rejects the submission, sending the item back to in_progress with feedback notes.
  • Overdue Tracking: If a CAPA exceeds 48 hours without resolution, it transitions to overdue status, triggering escalated notifications to headquarters and docking the location's compliance health score.
