Admin Operational Handbook

1. Managing Locations (/dashboard/admin/locations)

Locations represent your physical business units (restaurants, retail stores, warehouses, or clinics).

Adding a New Location

  1. Navigate to Locations in the admin sidebar.
  2. Click Add Location.
  3. Fill in the required fields:
    • Location Name: Clear branch identifier (e.g., "Indiranagar Flagship - Store #04").
    • Address & City: Physical location details.
    • Default Operating Hours: Set defaultStartTime and defaultEndTime. When audits are scheduled for this outlet, start and deadline times auto-populate to match these hours.
    • Assigned Managers: Multi-select one or more Managers responsible for supervising this branch.
  4. Click Save Location.

Note on Cascading Updates: If you rename a location later, Audiment automatically updates all historical and active audits, CAPA records, and reports associated with that branch.

2. Managing Users & Staff (/dashboard/admin/users)

Admins manage user accounts for both Managers and Field Auditors.

Inviting a New Team Member

  1. Navigate to Users in the sidebar.
  2. Click New User.
  3. Select the role:
    • Manager: Has authority over designated locations, assigns audits, and resolves CAPAs.
    • Auditor: Field inspector conducting mobile checklist audits.
  4. Provide the user's name, email, and a temporary password.
  5. Auditor-Specific Settings:
    • Managing Manager: Assign which Manager oversees this auditor's tasks.
    • Flashmob Access Toggle (isFlashmobEnabled): Enable or disable whether this auditor can receive stealth video presence audit requests.
  6. Click Create User.

Editing & Managing Existing Users

  • Password Resets: Click the pencil icon on any user row and select Send Password Reset Email to send a secure recovery link.
  • Deactivate User: Toggle the active switch to immediately disable access without losing historical audit logs.

3. Creating Master Blueprints (/dashboard/admin/templates)

Blueprints are the master templates used to conduct audits.

  1. Navigate to Templates > New Template.
  2. Enter the template title, category (e.g., Hygiene, Safety, Merchandising), and brief instructions.
  3. Click Add Question or Load FSSAI Defaults for pre-configured food safety questions.
  4. Configure severity weights (Low, Medium, Critical) and toggle Requires Photo for essential visual criteria.
  5. Save the blueprint to make it available for audit scheduling.

4. Scheduling & Dispatching Audits (/dashboard/admin/audits)

  1. Click New Audit.
  2. Select the Template, Target Location, and Assigned Manager.
  3. Choose the Scheduled Date and Deadline.
  4. Configure recurrence:
    • One-time: Single inspection.
    • Daily / Weekly / Monthly: Automatic recurring generation.
  5. Surprise Audit Toggle: Turn on to make the inspection unannounced (hidden from the manager's upcoming calendar).
  6. Click Publish Audit.

5. Overseeing Corrective Actions (/dashboard/admin/corrective-actions)

  1. Review the org-wide CAPA queue sorted by urgency (Closest Deadline → Critical Severity → Status).
  2. Filter by status: Open, In Progress, Resolved, or Overdue.
  3. When a manager completes a CAPA with notes and photo evidence, click Review:
    • Tap the resolution photo thumbnail to view full-screen high-res proof.
    • Click Accept & Resolve to formally close the violation.
    • Click Reject to send it back to the manager if evidence is unsatisfactory.
